AI phone receptionist, answering machine or answering service?
"We are unable to take your call in person" — in four variations. Which one actually brings your business appointments depends on what happens after the call is picked up.
1. Answering machine
Cheap and set up in minutes, but the work is left undone: someone has to listen to the messages and call back. Many callers never leave a message at all — they simply dial the next number. For businesses where an appointment is the goal, the answering machine is the most expensive "cheap" solution.
2. Phone menu (IVR)
"For appointments, press 1." A menu sorts calls but does not resolve anything. It also feels impersonal — especially for local service providers, where a personal touch is part of the offer.
3. External answering service with human operators
A call centre answers calls on behalf of the business. That sounds personal, but it is usually limited to office hours, billed per call, and frequently ends with a note instead of a booking because the service has no access to the calendar.
4. AI phone receptionist
A voice AI picks up, understands the request, knows your services, durations and opening hours, checks the calendar live and books. It works around the clock, speaks several languages and logs every conversation. At HoraDeck it states transparently that it is an AI and, on request, transfers the caller to a stored phone number.
Which option is right for you?
- Few calls, no appointment business → an answering machine is enough.
- Many departments, large organisation → phone menu plus staff.
- Consultation-heavy conversations without a fixed structure → a human on the phone.
- Appointment-based business (salon, practice, studio, workshop) → AI phone receptionist: in most cases the request is exactly what it can complete.
What you should measure
Two numbers quickly show whether switching is worthwhile: the number of unanswered calls per week and the average value of an appointment. HoraDeck logs every call with its duration, a summary and whether it turned into an appointment — after two weeks you see the effect in figures rather than gut feeling. Plans and prices are on the pricing page; the technical details are on the AI phone receptionist page.
